Introduction

VetReady is an online exam-preparation platform for candidates studying for veterinary licensing and certification examinations. This Privacy Policy explains what personal information we collect when you use vetready.ca and related services (the “Service”), how we use and share it, and the choices and rights you have. It applies to visitors, registered users, and paying subscribers. VetReady is established in Ontario, Canada, and handles personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

Information We Collect

We collect the following categories of information:

  • Account information: your name, email address, and a securely hashed password. If you sign in with a third-party identity provider, we receive the basic profile fields that provider returns.
  • Study activity: questions answered, answer choices, time on task, session history, flashcard reviews, readiness metrics, and other progress data generated as you use the Service.
  • Content you submit: feedback, flagged questions, messages sent to support, and any material you upload to the AI Tutor for explanation or review.
  • Billing metadata: subscription plan, status, renewal date, invoice history, billing country, and the last four digits and brand of the card used. Full card numbers and CVCs are handled exclusively by our payment processor and never touch VetReady servers.
  • Device and diagnostic data: IP address, browser type and version, operating system, referring pages, timestamps, and error logs used to keep the Service secure and reliable.

How We Use Your Information

We use personal information to:

  • Provide, maintain, and improve the Service and its features.
  • Personalize study recommendations, readiness estimates, and practice content based on your activity.
  • Send transactional messages (receipts, password resets, security alerts) and lifecycle emails related to your account and subscription. You can opt out of non-essential lifecycle emails at any time.
  • Detect, investigate, and prevent fraud, abuse, and violations of our Terms of Service.
  • Produce aggregate, de-identified analytics that help us understand how the Service is used and where to improve it.

Legal Bases and Consent

Under PIPEDA and comparable Canadian privacy laws, we rely on your consent, on the performance of our contract with you (providing the Service you have signed up for), and on legitimate business purposes such as securing the Service, preventing fraud, meeting legal obligations, and improving our product. Where consent is required, you may withdraw it at any time, subject to legal or contractual restrictions and reasonable notice; withdrawing consent may limit or end your ability to use parts of the Service.

Payment Processing

Subscription payments are processed by a third-party payment processor. VetReady never stores your full card number or CVC. We retain only the minimum billing metadata needed to service your subscription, issue receipts, prevent fraud, and comply with tax and accounting obligations.

AI-Generated Content

Practice questions, explanations, and AI Tutor replies are generated with the assistance of large language models and reviewed against veterinary references on a best-efforts basis. Despite this review, AI-generated content can contain errors, omissions, or outdated information. It is provided for exam preparation only and is not a substitute for professional veterinary judgment, diagnosis, or treatment. You are responsible for verifying clinically significant information against authoritative sources.

Cookies, Analytics & Advertising

We use strictly-necessary cookies to keep you signed in, remember preferences such as your theme, and protect the Service from abuse.

With your consent, we also use analytics and marketing technologies to understand how the Service is used and to measure the performance of our advertising. These include:

  • Google Analytics 4 — aggregate usage analytics.
  • Meta (Facebook/Instagram) Pixel and Conversions API, Google Ads, and TikTok Pixel — to measure ad performance and to serve relevant ads on those platforms.

For advertising measurement we may share hashed identifiers (such as a SHA-256 hash of your email address), your IP address, user agent, page URL, and event metadata (e.g. purchase value and currency) with these providers. We do not share your password, health information, or the content of your study sessions with advertising platforms, and we do not sell personal information.

Google Consent Mode v2 signals are set to denied by default and only change once you make a choice in our cookie banner. You can update your choices at any time by opening (also linked in the site footer), or by clearing cookies in your browser. Blocking cookies may affect functionality such as staying signed in.

Data Retention and Deletion

We retain personal information for as long as your account is active and for a reasonable period afterward to meet legal, tax, accounting, and dispute-resolution obligations. You may request deletion of your account and associated personal information by emailing hello@vetready.ca. After a deletion request is processed, residual copies may persist in encrypted backups until those backups are rotated out in the ordinary course, typically within 30 days.

Sharing and Service Providers

We share personal information only with service providers who help us operate the Service — including cloud infrastructure, payment processing, email delivery, error monitoring, and analytics — under written confidentiality and data-protection obligations, and only to the extent needed to perform their services. We do not sell personal information. We may disclose information where required by law, court order, or other valid legal process, or where necessary to protect the rights, property, or safety of VetReady, our users, or the public.

International Data Transfers

Personal information may be stored or processed outside of Canada, including in the United States, by service providers acting on our behalf. When we transfer information across borders, we use providers that offer a comparable level of protection to what is required under Canadian law. While your information is in another jurisdiction, it may be accessible to courts, law enforcement, and regulators of that jurisdiction under their applicable laws.

Your Rights

Subject to applicable law, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your account, and withdraw consent to non-essential processing. You may also lodge a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca) or your provincial regulator. To exercise any of these rights, email hello@vetready.ca; we will respond within the timeframes required by law.

Children

The Service is intended for adult veterinary students and professionals and is not directed to individuals under 16. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will take reasonable steps to delete it.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or to legal requirements. Material changes will be notified by email or through an in-app notice. The “Last updated” date at the top of this page indicates when the current version took effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
